How to Locate and Check Out Reserves

  • Reserve items are books, periodical articles, or audio-visual materials selected by professors for required reading by the students in their courses.  These items can be obtained from the Service Desks, and students may consult them for two hours in-library.  Selected items circulate on an overnight basis.
  • To locate items, perform a search in the library's online catalog under the professor's name or course number.
  • Verify that the item is available, and submit request to the Service Desk, giving the item's call number, and your validated library ID card. Your ID card will be kept until you return the items you are using.

Reserve Loan Policies

  • Number of loans

  • Normally, you can consult one reserve item at a time during the day and two items overnight.  We do allow two items of different mediums during the day (i.e., one film and one book, one book and one article, one book and one CD set, NOT two books, NOT two films).  You may check out up to 2 CD sets at one time during the day.
  • Loan period

  • Two hours during the day.
  • Overnight loans

  • Some reserve materials can be checked out overnight; checkout for overnight loans starts two hours before closing.  Patrons may sign up for overnight loans 24 hours in advance.
  • Returning overnight loans

  • Reserve materials borrowed overnight are due within the first hour the next day that the University Library is open.  They can be returned before opening through the book drop at the Library entrance.
  • Fines

  • Fines for reserve materials: 1 Euro per hour, or fraction thereof for each item not returned by the due time.

See 'Use of the Academic Film Collection' for special fines and restrictions on loans of films.

Faculty Information on Library Reserves

What are Reserves?

  1. Reserve status can be provided for materials that the entire class will be required to read but which are not available for purchase at the American University of Paris Bookstore.  ONLY REQUIRED READINGS SHOULD BE PLACED ON RESERVE.
  2. Reserve materials are listed in the online library catalog under the professor's name, the course number, the department. To consult these materials, students must ask for them at the service desk with the appropriate call number.
  3. Reserve materials cannot be borrowed under the same conditions as other library materials. Their use is limited to the Reading Room areas and a two-hour loan period, except in certain cases, when they can be checked out for a single overnight loan during hours the University Library is closed. The fine for overdue Reserve materials is 1 Euro per hour or portion thereof (more for films or if recalled).

How to Establish Reserve Readings for a Course

Go to the Library catalog. Login with your ID. Search the catalog to find an item you want on reserve. Click Request at the top of the page. Choose 'Reserve List Request' and click OK. Enter ID information on the form. Put the title and class number in the 'Comment' field. Repeat for each item you want on reserve Log off when finished.

Deadlines are set each semester for submitting recommendations for library acquisitions and reserve requests for courses offered the following semester. Please contact Isabelle Dupuy-Llorente who is in charge of Reserves at EXT. 556 or at E-mail: idupuy@aup.fr  for further information.  Timely Processing of Requests Cannot be Guaranteed Past These Deadlines.

Professor's personal copies can sometimes be put on Reserve when the Library does not have, or has not yet received, specific materials.  These are not loaned overnight.

To ensure a rapid processing of reserve requests, please verify and print clearly the author's full name, the complete title, and the entire call number of each item requested.  Please check also that requested materials are currently available; if materials are in circulation at the time the request arrives, there may be a delay in processing.

Professors are notified in writing when materials are processed and available.  Please do not tell your students something is on reserve until you have received a written confirmation from the Library.  Please remember that the reserve requests require a MINIMUM of five working days before being available to your students.

General Policies

Multiple copies
Only one copy of a title is placed on reserve.  If more than one is needed, and if the library has more than one copy, please specify this fact on the form under the call number (example: 2 copies).

Length of Reserve Status
Materials are placed on Reserve for a single semester and are automatically de-reserved after the final exams.  If you wish materials to remain on Reserve for more than one semester, please indicate this next to 'semester' on the form.

Please address any questions or problems you may have to Isabelle Dupuy-Llorente, who is in charge of Reserves at idupuy@aup.fr or EXT. 556.
